Your privacy matters.

This policy explains how we handle information shared with the SJA Alumni Association through our website, membership services and mobile app.

1. Who this policy covers

SJA Alumni Association (“SJAA”, “we”, “us”) manages the alumni services covered by this policy, including sjaalumni.com and the SJA Alumni Association mobile app. This policy applies to applicants, members, visitors and people who contact us.

The information handled depends on the services you use and the details you choose to provide. Membership records supplied previously to the association may also be used to maintain and verify your account.

2. Information we handle

  • Identity and contact details: your name, email, phone numbers, date of birth, photograph, and permanent or postal address.
  • School and membership details: batch, years and classes at SJA, school examination reference, member identifiers, membership type, verification and payment status.
  • Optional profile information: qualifications, work, interests, social links and family details that you choose to submit. Please only share another person’s information if you are authorised to do so.
  • Community and support information: event registrations, contributions, listings, messages and support requests submitted through association services.
  • Payment records: payment and order references, amount, currency, date and status. Payment credentials are entered through the payment provider’s checkout; our membership form does not ask you to send us card numbers, CVVs, UPI PINs or banking passwords.
  • Account and technical information: authentication records, device notification tokens and platform information used for app notifications, together with server connection, request and error logs used to operate and protect the services.

3. How we use information

We use information to check membership eligibility, process applications and reactivation requests, verify payments, maintain member records, support account access, operate alumni activities and respond to enquiries. We also use relevant records to prevent misuse, investigate problems and meet applicable record-keeping obligations.

For website registration, an email eligibility check is sent to the membership service. After payment verification, application details and any supplied photograph are sent to the association’s designated administrative recipients, and an acknowledgement is sent to the applicant.

App and community features may use the profile information you provide for the member directory, events and other alumni activities. Information you submit for public publication, such as a story or alumni feature, may be visible to website visitors.

4. Sharing & service providers

Information is available to association personnel who administer the relevant service, and to providers supporting hosting, payments, communication and notifications. The services currently include Hostinger for hosting, Razorpay for payments, Resend for website emails, Brevo for backend emails, and Google Firebase for app push notifications. Providers process information needed to deliver their services and have their own privacy terms.

Where you participate in a directory or community feature, relevant profile or submitted content may be shared with its audience. Review the available visibility settings and contact us if you need help changing them.

Information may also be disclosed where required by law or reasonably necessary to investigate fraud, resolve disputes or protect the association and its members. Service providers may process information outside your country.

5. Your choices & permissions

You can choose whether to supply optional profile and family information. Where available, use the app’s profile and directory settings to manage visibility. You can contact the office to request corrections, ask about your information, or withdraw permission for optional communications or uses. Some information remains necessary to provide membership services or comply with record-keeping requirements.

The mobile app does not access your device location or phone address book, and does not use advertising or analytics SDKs. Contact details are provided by you. If you enable app notifications, you can change notification permission in your phone’s settings; turning off notifications does not remove your membership record.

Authentication cookies or tokens may be used for signed-in services. External links, social-media pages and payment services are governed by their own privacy practices.

6. Retention & deletion

We keep information for as long as needed to manage your membership, provide requested services, maintain relevant association records, resolve disputes and meet applicable legal or accounting obligations. Retention depends on the type of record and why it is held; account deletion may not remove records that must be retained for these purposes.

You can request deletion of your mobile app account or personal information by emailing sjaalumnioffice@gmail.com from your registered email address with the subject “SJAA account deletion”. Include your name and the account or data you want deleted. Do not include passwords or OTPs. We may verify your identity before acting and will explain any records that need to be retained.

7. Security

We use safeguards such as encrypted website connections, access controls and payment verification to protect information. No online service can guarantee absolute security. Keep your login details private and contact us if you suspect unauthorised access or a problem involving your information.
